AGENCY & SERVICES
Travelseed is a travel consulting service provider which assists clients to make a booking with a third-party travel service provider for a travel product. In such cases Travelseed only acts as an agent for the Third Party Service Provider.
Travelseed will be referred to as “Travelseed”, “Agency”, “We” and “Us” and Third Party Service Provider will be referred to as “Vendor, Principle or Supplier” throughout this document. The following Terms and Conditions apply to all the products and services sold by Travelseed. Your payment to Travelseed is your acknowledgement that you have read, understood, and agreed to be bound by these terms and conditions.
PRICING
All prices quoted by us are based on the information available to us at the time of quoting but are subject to availability and may change or be withdrawn at any time without notice. The price is only guaranteed once paid in full by you. We will do our best to ensure you have been offered the most cost effective price available for your specified requirements. Prices shown are in Australian Dollars (AUD) and are fully inclusive of taxes, levies, government charges and other applicable fees.
For some international travel product, pricing has been converted to AUD using the exchange rate at the time the booking is made. Variations to your final price may occur due to currency fluctuations and must be re-quoted on the date of payment. Some fares and specials may be withdrawn without notice, sometimes on the same day as quoting. Travelseed bears no responsibility to honour a price that is no longer available. If travel is booked for more than one traveller, and the traveller number decreases, the price will increase for the remaining travellers in most cases.
BOOKING DETAILS
Upon engaging the services of Travelseed, you will be asked to pay a quotation fee of $55.00 Incl. GST for any domestic quote, and $110.00 incl. GST for any international quotes, that will then be taken off your final balance if you proceed with the booking. If you choose not to proceed after the initial quotation this fee is NON refundable.
By making a payment towards your travel product(s) you agree that all the booking details are correct including passengers’ names (as per passport) and travelling dates/times.
Any amendment in travellers’ name, travelling dates, etc. is subject to vendors’ regulations and fees as well as Travelseed’s amendment fees. Please advise your consultant if you require any special service or have a special dietary requirement as well as your seating preference and any airline or hotel loyalty program membership number.
FEES & COMMISSIONS
We charge a fee for providing the Booking & Advisory Services to you. The fee is non-refundable, even if the Travel Product is not used. All fees are outlined in the Schedule of Professional Service Fees. We may receive a commission, fee, rebate, gift or financial incentives from Providers, in respect of your booking. Any commission, gift, fee, rebate and/or financial incentive received by us from Providers in relation to your booking is non-refundable in the event of cancellation.
We offer an itinerary planning service.
Do you love planning your own travels, but this time you're going somewhere you don't know too much about? Are you getting lost in all the information that is out there?
You provide us the basic trip brief and we will plan out a trip framework for you. We will also quote you airfares and give you suggestions and travel logistics.
The cost for this service is $110-$500 (non-refundable), depending on the length/complexity of the trip. Once you have received our itinerary, you can then make your own booking arrangements independently of Travelseed, or you can book the whole trip through us.
GENERAL BOOKING CONDITIONS
Airline Baggage: Some packages/airfares may include carry-on baggage only. Checked baggage may be available to purchase at an additional charge. Please contact us for details.
Airline meals and aircraft seating: Please contact us for all meal, aircraft seating and any special requests. Please note that bulkhead seats are generally reserved for families travelling with infants. Exit row seating is on request basis, and is at the airlines discretion and is only made available at check-in. Requests may not be guaranteed until check-in and is subject to availability and the airline conditions of carriage.
Any special meals, if available must be requested at the time of booking. Special airline requests usually require at least 72 hours notice prior to departure.
Infants/children : Please note that bookings for infants do NOT include a seat on an aircraft unless a child price has been paid for. Most hotels/resorts will charge a daily fee on arrival for use of a rollaway or cot. These charges are solely the traveller’s responsibility to pay directly.
PRIOR TO DEPARTURE
We recommend contacting the airline to confirm your scheduled departure time 24 hours prior to your flight.
Please note that carry on baggage is subject to regulations on the carriage of certain items. We recommend you check with the relevant authorities prior to departure. Airlines now offer a variety of baggage allowances to suit your travel plans, your frequent flyer status and your cabin class. Some domestic fares do not provide checked baggage. We recommend that you check your e-ticket or the airline’s website prior to your travel to confirm your baggage allowance. If you require a certain allowance, please advise your consultant at the time of booking.
For international flights, we recommend arriving at the airport at least three hours prior to your scheduled departure time. For domestic Qantas and Virgin flights within Australia, we recommend arriving at the airport at least an hour prior to your scheduled departure time. For all other carriers, we recommend checking your documentation or contacting the airline for more information. Airlines may refuse check-in to passengers who do not arrive at the airport within sufficient time to board. All passengers on domestic flights must present valid photo identification (e.g. passport or driver’s licence).
Please advise your consultant well in advance if you have any special requirements for your travel arrangements. These may include (but not limited to) special meal and seating requests, room type or disability access or assistance.
Low Cost Airlines: Bookings made on Low Cost Carriers in some instances do not include a check-in baggage allowance. Check-in baggage allowances included in the fare purchased will be listed on your booking confirmation from the airline. Please contact the airline directly prior to your scheduled departure. Please contact Travelseed directly if you require to add or increase your check-in baggage limit. Baggage fees may be charged directly by the airline for adding or increasing check-in baggage allowances, please note higher charges may be imposed at the airport for any additional requirements that are not pre-arranged. Check-in baggage fees are non-refundable once purchased.
CHANGES & CANCELLATIONS
Should you choose to change or cancel a confirmed booking, fees will apply, subject to your rights under Australian Consumer Law.
A minimum 10% (total booking value) fee, will be charged on top of any supplier charges apply for cancellation. Some cancellation penalties may be up to 100%. All Travelseed service and credit card fees are non-refundable. For any booking made through Travelseed, we reserve the right to charge a minimum $40.00 per person for changes made after ticketing. These fees are in addition to any fees charged by the travel provider. Amendments and Cancellations will incur a fee, which can be up to 100% of the cost of your booking, regardless of whether travel has commenced or not. Where we incur any liability for a suppliers cancellation fee for any booking that you change or cancel, you agree to indemnify us for the amount of that fee. Where you seek a refund for a cancelled booking for which payment has been made to the supplier, we will only provide a refund to you once we have received the funds from that supplier. Travelseed reserves the right to retain commission earned on bookings in the event of cancellation by you, or the supplier. Commissions will not be recalled and the client will be refunded the nett value, less cancellation fees received from the supplier. An admin fee of $22.00AUD per ticket will also be charged to process a refund from our ticket centre.
It is important to discuss any planned changes with your consultant prior to making these changes, as some reservations are non-changeable and any change would result in the cancellation of your booking (non-changeable bookings are most commonly non-refundable and non-transferrable).
ITINERARY VARIATIONS
Flight itineraries may be varied by the airline from time to time due to factors such as aircraft maintenance, weather, or for any other circumstances beyond our control.
Schedule changes: The airlines do have the right to reschedule or cancel flights at ANY time. Please note that the airlines accept no responsibility to accommodate any changes made that don’t suit you. We will use our reasonable endeavours to assist you to re-book on the closest flight time or date available, subject to seat availability. We will not accept responsibility should changes occur nor do we accept responsibility for any additional cost incurred by you to make alterations to your booking to accommodate these changes as these are beyond our control.
FREQUENT FLYERS & LOYALTY PROGRAMS
Please advise your consultant of any frequent flyer membership details (or other applicable loyalty program details) for inclusion in your booking. We recommend you check your frequent flyer program (or other applicable loyalty programs) for the specific terms of your membership. We are unable to guarantee that the Principal will credit you with points for your booking. It is advisable that you retain all boarding passes until your points appear on your statement. Travelseed will charge $80.00 for the creation of Frequent flyer bookings to cover our time.
FORCE MAJEURE
We will not be liable for any failure or delay in performing our obligations in booking the Travel Product that is due to events beyond our control. If a force majeure event occurs that affects your booking, your entitlement to a refund, a credit or re-scheduled travel booking will depend on the Provider's terms and conditions. If your booking is impacted by a force majeure event and you are entitled to a refund or credit from the Provider, we will facilitate this refund or credit. The Booking & Service Advisory fee, credit card fees or any commissions received are non-refundable in the circumstance that a force majeure event occurs.
PAYMENTS
All bookings will require the payment of a deposit when you make your booking, unless full payment is required. Your consultant will advise you of these amounts. All deposits are non-refundable (subject to your rights under Australian Consumer Law). Your payment schedule and/or final payment date will be provided at the time of booking. Some elements of your booking (including airfares) may require full payment at the time of booking. If final payment is not received by the due dates specified at the time of booking, your reservations may be subject to cancellation, and additional fees.
For bookings made with Travelseed, a minimum deposit amount of $100.00 per person for flights and $300.00 per person for holiday packages is charged. Package deposits may be higher depending on supplier requirements. All deposit payments are non-refundable. The due date for balance payment for travel arrangements made by Travelseed is set with the ticketing deadline imposed by the airline and/or wholesaler. This may be immediate. Where a Service fee is charged by Travelseed, this fee is non-refundable.
Direct bank deposit / EFT / Bank transfer
Please make your payment to the below account details. A copy of the transaction receipt must be emailed to Travelseed at info@mytravelseed.com.au with advisement of the booking number. Please be advised that bank transfers can take approximately 24-48 hours for funds to clear.

Diners and American Express payments: Up to 2.5% surcharge applies
You authorise us to charge all fees incurred by you in relation to the services provided to the credit card or debit card designated by you. If payment is not received from the card issuer or its agents for any reason, you agree to pay us all amounts due immediately on demand.
If for any reason any travel service provider including airlines, do not provide the services to which you have been contracted, the liability is against that provider, and not against Travelseed. If payment for such a service was made to Travelseed by credit card or any other method, by accepting these booking conditions, you agree that you will not seek to charge back your payment to Travelseed
Card payments made by MasterCard and Visa, American Express and will incur a surcharge and the merchant fees may vary depending on your financial institution, and type of card. Please ask for more information if required.
CHEQUE & CASH
Due to clearance period and time limitation for travel arrangement payments, cash and cheques are not accepted.
REFUNDS
Refund requests can only be submitted to vendors (airlines, hotels etc) after receiving the clients’ written cancellation/refund request to Travelseed. Refund processing time is subject to vendors’ policy. It usually takes between 8-12 weeks for the airlines to process the refund request. We will retain the initial commission made from all travel products in case of any refund request. Credit card payment surcharges are also non-refundable. There will be a NON refundable refund admin fee of $25.00 pp to process your refund. Refunds are subject to airfare terms and conditions, set by the airline.
TRAVEL DOCUMENTS
Travel documentation includes (but is not limited to) airline tickets, rail passes, cruise boarding passes, hotel vouchers, tour vouchers or any other document (both printed and electronic) used to confirm an arrangement with a Principal. Travel documents relating to international travel must be issued in the name of the passport holder and cannot be transferred to another person to use. It is your responsibility to provide correct names, as per passport, at the time of booking. Travel documents are subject to conditions and/or restrictions, including (but is not limited to) being non-changeable, non-refundable and subject to amendment/cancellation fees. Please review your travel documentation carefully and advise us as soon as possible of any name, date or timing errors. Your consultant will advise you when you will receive your documents prior to your travel commencing.
PASSPORT & VISA
It is the clients’ responsibility to ensure that they have a valid passport, visas and meet the entry/re-entry requirements for each of their destination countries. Travelseed will not hold any liability and responsibility for the incorrect or missing documentation required for entry into a foreign country.
Important: You MUST have at least 6 months validity on passengers’ passports from date of entry (or you may be denied boarding).

A visa does not guarantee you entry to a country or permit you to remain in it. Some countries may refuse you entry because of your health, condition, or for other circumstances or reasons, or may detain, expel or repatriate you. This is your own responsibility and there will be no liability to Travelseed in any of these instances. It is your own responsibility to ensure all travellers hold valid passports and that their validity is enough for the countries travelling to, including any transit countries. Any penalties, or extra costs incurred if any documents are not accepted by any authority will be your responsibility.
Please ensure that the first name and surname that you provide for your reservation are exactly the same as they appear on your passport. Amendment fees apply to all name changes and sometimes incur cancellation and re-booking fees. International travellers booked on flights to the United States, (including Hawaii), must pre-register their intent to travel under the US Visa Waiver Program. Applications can be made via the Electronic System for Travel Authorization website, and each passenger must complete this application a minimum of 72 hours prior to their flight departure.
Travellers to Canada also must complete an Electronic Travel Authorization. Links for USA an Canada are available on our website www.mytravelseed.com.au under the ‘useful links’ page. Passengers who fail to complete these application may be refused to board their flight by the airline.
Re-entry visas may be required for travellers returning to Australia on foreign passports. It is your own responsibility to ensure you have the correct documentation in place prior to departing Australia. It is your responsibility to ensure that you are aware of any health requirements for your travel destinations and to ensure that you carry all necessary vaccination documentation. Some countries require vaccinations to RETURN to Australia (e.g. proof of Yellow Fever vaccination), so ensure you are informed of your responsibilities for both home and overseas. Check with your doctor and the relevant Embassies.
HEALTH
Clients must ensure that they meet the health requirements for their trip. Travelseed recommends that passengers consult with their doctor and/or a vaccination centre prior to the commencement of their trip.
TRAVEL INSURANCE
Travel Insurance is essential. Travelseed recommends that all clients take out Fully Comprehensive Travel Insurance as per the Australian Government guidelines and takes no responsibility for any client’s decision to travel uninsured. Any claim through an insurance policy that Travelseed did not issue on your behalf, will incur a $120 administration fee, payable upfront.
LIABILITY
Travelseed does not accept any liability for omissions or default of any third party providers. Travelseed does not accept any liability for damage, injury, delay, additional costs or inconvenience caused by any event or force majeure that is not under our direct control. Travelseed is not liable for the cancellation of any services, or bankruptcy by third company providers, including all airlines. If for any reason any travel service provider including airlines do not provide the services to which you have been contracted, the liability is against that provider, and not against Travelseed If payment for such a service was made to Travelseed by credit card, by accepting these booking conditions, you agree that you will not seek to charge back your credit card payment to Travelseed.
Travelseed disclaims and will be exempt from any liability under the law of contract, tort or by virtue of statutory enactment in relation to any: loss to; personal injury, death or illness of; damage or theft of personal property of any sort of; expense of inconvenience caused through delay to; disappointed expectation of; accident befalling; the traveller or any dependents, arising out of any negligent act or omission, breach of any duty imposed by statute, breach of any law of the place of destination or on route to or from the destination, tort (whether intentional or unintentional), or breach of a contractual term, whether expressed or implied or breach of duty arising under or imposed by any law on the part of Travelseed, its servants or agents or of any sub-contractor or supplier of any product or service it supplies.
ACKNOWLEDGEMENT
By making payment to Travelseed you acknowledge that you understand and agree with the information outlined in the above Travelseed Booking Conditions and Privacy Policy. You also acknowledge that you have read and checked that all information including spelling of names, dates and details of travel arrangements made are correct and that if any changes need to be made fees may apply.
